Set up and use Answers in One AI Assistant
Answers gives users verified responses to common questions, so they can find relevant content without building or validating their own charts. Site administrators curate the questions, organise them by topic, and link each one to a visual on a Storyboard. You can browse questions by topic or type a question in plain language to be matched to the closest configured answer. Access can be granted for Answers alone or combined with other One AI Assistant capabilities, such as Visualizations and Storyboard Navigation.

How Answers works
A curated knowledge base configured and maintained by site administrators powers Answers.
Administrators set up the knowledge base
Site administrators define key questions, organise them into topics, and tie them to Storyboard tiles. They can also add these configured questions to the suggested prompts shown when you open the One AI Assistant panel.
Users ask questions
You can browse all questions in a topic, or type a question in plain language to be matched to the closest configured option. You can also ask What questions can you answer? to see every question you have permission to access, or What questions can you answer about [topic]? to filter by a specific subject area.
The Assistant delivers a complete package
When you select or match a question, the Assistant presents four components:
- A natural language response answering the question, if enabled. The Assistant generates this from the question and the data shown in the linked chart or table.
- A related visualization from a Storyboard, such as a Basic Chart, list, or scatterplot.
- A direct link to the full Storyboard page, so you can navigate to deeper content about the question or topic. The Assistant panel stays open when you follow the link, so your answer remains available.
- A list of related questions to explore next. Selecting a different question displays it as a new result under the existing result in One AI Assistant.
Visuals in Answers reflect filters applied at both the Storyboard and tile levels, which keeps Answers consistent with the source Storyboard.
Choose between AI Mode and Answers mode
In AI Mode, the Assistant decides whether to return an Answer, a Visualization, or a Storyboard. To match your prompt only against curated questions, switch to Answers mode so results always come from your organisation's configured library.
Control access to Answers
Access to Answers requires One AI Assistant to be enabled for your company. See Permissioning One AI Assistant for set-up details.

Data handling
Answers is configured independently of vector configuration. The chart or table used in an Answer comes from the Storyboard tile selected in One AI Configuration > Answers - Questions Configuration. If the Answers natural language response is enabled, the Assistant sends the question and the linked chart or table data to OpenAI to generate the written response. If you use Analyze on an Answers chart or table, the Assistant sends your Analyze prompt and that chart or table data to OpenAI to generate the response.
Configure Answers
Configuring Answers mirrors the other One AI Assistant setup steps.
Note: Configuration is only available to users whose Application Access Role includes the CanConfigureOneAI permission.
Access the configuration screen
- Click Admin on the main ribbon menu.
- Click One AI Configuration.
Configure topics
- Scroll to the Topic Configuration section.
- Click Add Topic.
- Enter the topic name in the text box.
- Click Save in the top-right corner of the section.
To edit a topic name, type directly in the box and click Save. Topic names update in the Questions section once you refresh the page. To delete a topic, click the trash icon next to it. You cannot delete topics that have related questions. Return and add more topics at any time if you identify more common questions.
Configure questions
- Scroll to the Question Configuration section.
- Click Add Question in the top-right corner.
- Enter the question text in the text box.
- Select a Topic from the dropdown, populated from your configured topics.
- Choose a Storyboard from the dropdown. This is the Storyboard users are brought to for more information.
- Select a Storyboard Page — the specific page containing the relevant tile.
- Select a Tile from that page — the chart, list, geomap, or other tile that best answers the question. The Assistant displays this tile to the user as part of the Answers response.
- Click Save in the top-right corner.
To change a question later, edit any part of its configuration, or delete it using the trash icon.
Organise questions
- Drag and drop questions to reorder them within a topic.
- To move a question to a different topic, drag it into the new topic section. The topic updates to match its new location.
- To change a question's topic manually, use the Topic dropdown in its configuration panel. The question then appears in that topic's section — scroll there to finish configuring it and click Save.
- Collapse or expand topics in the Question Configuration section for easier viewing.
Add questions to example prompts
You can add any configured question to the Example Prompt Configuration section.
- From the Type selector, choose Answers.
- Click Save.
Note: Only users with Answers permissions see example prompts with the type of Answers.
