Funnel Chart Guide

Learn how to create and format a Funnel Chart.

We have expanded our data visualizations in Storyboards to include several new chart types, including funnel charts. Funnel charts are typically used to illustrate the flow of users through an ordered process, such as recruitment, helping you quickly identify bottlenecks, drop-offs, and progressions.

Before creating your funnel chart, you should already be familiar with the fundamentals of creating a basic chart or table. Learn more by reading our guide about Creating basic charts and tables, and the Beta Define (Explore in Storyboards) guide

1. Permissions

To get started using funnel charts, you will need to ensure you have the following permissions.

The permissions of CanExploreData and CanCreateDashboard are required to create or edit the queries or visualizations.

These permissions are accessed from Admin > Application Role > Permission page.  The user will also need Storyboard edit permission to make any modifications to that Storyboard.  This permission is accessed from Admin > Data Access Role > Storyboard > Edit or via Storyboard Settings > Sharing > Can View & Edit.

Your Data Access Role permissions govern the actual data users are able to view based on their selected roles.

Authorized users can access the Define panel to create new queries or visualizations, as well as modify existing ones.

2. Creating the Funnel Chart

A funnel chart visually represents a process or flow of data from one stage to another, typically illustrating a gradual reduction or progression.

  1. To create a Funnel Chart from within a Storyboard, click on the Edit [pencil] icon to enter Storyboard Modify Mode.

  1. Click the Add [+] icon, then select the Funnel Chart option.

  1. A new window will appear where you can Define the query for the chart.

  1. Choose your data:
    • A) For a basic Funnel Chart, include
      • 1 Metric,
      • 1 Dimension, and;
      • A single Time Period (Dimension).
  •
    • Or B) you can:
      • Use Multiple Metrics, and;
      • A single Time Period (Dimension).
  •
    • Alternatively, for more detailed analysis you can include:
      • 1 Span Metric (Optional metric used to view Time in Stage and calculate Time to Fill visualizations in the Funnel Chart).
      • Note: The Span Metric visualization will only function if your query definition includes at least one Dimension (setup A).

In the example below, you will see the following selections:

Metrics: Applicants  / Applications (EOP) for Open Jobs

Dimensions: Timeperiods - 2024, Recruitment Stage

Span Metric: Average Time in Stage

Please note, when selecting your metrics and dimensions, the eye icon indicates whether it has been selected, and the check/cross icons are your filters. To drilldown, you would click on > arrow to view the next level(s).

  1. Click Run to run the query and generate a preview of your funnel chart.
  2. Click the Table tab to switch to a table view of the data.  Click Funnel to view the diagram.

  1. Click Insert to add your funnel chart to your Storyboard or you can edit the query definition and re-run the query to get the desired results before inserting the funnel chart to your Storyboard.
  2. Your funnel chart will be added to the bottom of your Storyboard.
  3. Enter a name for the Tile Title, then click Save at the top right of the page, and Exit Modify Mode.

3. Editing the Funnel Chart

  1. To edit a funnel chart from within a Storyboard, click on the Edit [pencil] icon to enter Storyboard Modify Mode
  2. From the Tile Configuration Panel, click the new icon Settings.

  1. This will open the query definition window > Define tab

  1. Update or edit the query definition and click Run to run the new query.
  2. Click Update to Storyboard to update the Storyboard Tile - the modal window will close.  Alternatively you can Cancel to return to the Storyboard with no updates applied.

Note: If you click the Explore icon from the Tile Configuration Panel in Storyboard Modify Mode, the query list will open in Explore, however the diagram will not be supported.

The visualization Type “List for Funnel” is the option, similar to List for GeoMap, where the data is returned in Explore but the chart is only rendered when pinned to a Storyboard.
