Optimizing One Model: Best Practices for Managing your People Analytics Environment

A little maintenance goes a long way toward keeping your One Model instance performing at its best, and here are a few tools you can use to help keep your site running smoothly. 

Site Validation Page

The One Model Site Validation tool provides permissioned Admin users with a list of any errors and warnings in the different components of your site, and find possible solutions to address those warnings and resolve errors. 

This is an especially useful page to review after making changes to your One Model instance. For example, if there are changes to dimension levels or nodes, Site Validation can help to identify where invalid dimension nodes are still being used in metrics, security roles, or as filters on Storyboards and tiles. One of the best features of this page is the direct link it provides to the query or Storyboard that may have issues.

Reviewing this page regularly is a great way to ensure your Storyboards and security rules look and stay accurate. Read our article about Site Validation for explanations of the sections you can target for review, and the various error and warning messages. 

Admin Reports

Admin reports help you to manage your configuration, users, security, and include the following:

  • Metrics 
  • Dimensions 
  • Table and Column Labels
  • Permissions and Application Access Roles
  • Users and Roles
  • Users and Roles (delimited) - original report
  • Metrics and Data Access Roles
  • Storyboards and Data Access Roles
  • Dimensions and Data Access Roles
  • Columns and Data Access Roles 
  • Entity Relationship Information 

With an Admin Report, you can review comprehensive lists of metrics, dimensions, users and roles which gives you the ability to easily identify and remedy duplicates and unused elements.  

For example, you may have created a duplicate Headcount EOP metric for testing purposes that isn’t used on any Storyboards. If this duplicate remains available in Explore, it could cause confusion about which metric is the correct one to use when building queries. 

These Admin Reports also display how your metrics and dimensions are categorized. Initially, you might have categorized an Application Source dimension under the Requisitions category. However, with expanded categories now including one called Applications, this dimension might be better suited there. Organizing metrics and dimensions in a logical way makes them easier to locate when building queries. But keep in mind that it’s important to ensure your team members who have access to Explore are aware of any changes to dimensions or metrics to avoid confusion. You have full control over your metric categories and sub categories for changes ‘on the fly’. Changes to dimension categories can be requested via a Help Center ticket. 

The Users and Roles report provides a list of all user accounts on the site, whether the account is active or inactive, and the application and data access roles assigned to each user, plus other details. We recommend regularly reviewing this report to identify users who are no longer with the company and should be deactivated, as well as determining if active users still have correct roles.

Key Storyboards

 Usage Statistics Storyboard

The Usage Statistics Storyboard offers valuable insights into what activities are taking place in your One Model instance including who is logging in and Storyboard views.  

Use the metrics ‘Storyboards Viewed’ and ‘Storyboards Viewed - Previous Period’ along with the Storyboard/Tile Used dimension to analyze the number of views each Storyboard received in the current period compared to the previous period. If a Storyboard had views in the previous period but none in the current period, assess whether the Storyboard is still relevant, if it has been replaced by a new one, or if there are other reasons for the change in usage. 

In addition to identifying unused Storyboards, the Usage Statistics Storyboard can help you identify users who don’t frequent the site as they may have transitioned into new roles and no longer need access, or they might simply need a reminder. Use this information as an opportunity to reach out to infrequent users and discover what data or visuals they feel would be most relevant and useful for their roles. Monitoring these metrics helps keep your data secure and ensure it remains relevant to your organization’s needs. 

Key Metrics / Dimensions

You should create a Storyboard with their key metrics and dimensions to regularly monitor their One Model instance. This Storyboard helps you to see sudden and significant changes in something like an organization structure that may not cause a site validation error. You will need to use the key metrics and dimensions customized to your company and relevant time period/s, and below is an example of what this may look like. Using a set of charts or tables to monitor for any unexpected Unknowns in key dimensions is another good practice.          

Headcount Reconciliation Storyboard (Workforce)

During implementation of your One Model instance, a Headcount Reconciliation Storyboard should have been created to assist with reconciling your core workforce data. The Storyboard and its tiles consider current headcount, hires, terminations, and other movements to help you find anomalies in your data. 

The Headcount Reconciliation metric should reflect zero for any given time period; a non-zero value could indicate a discrepancy. This might be due to a new termination reason not being recognized as a termination event, an acquisition with employees not identified as hires, or similar situations. Finding and addressing these discrepancies enable you to make the necessary adjustments to your metrics and dimensions to ensure they are kept up to date and accurate. 

Note: this Storyboard is only available for Workforce implementations so if, for example, you have started with Recruiting or another topic, you may not have this Storyboard. Reach out to your Customer Success Lead for more information.
