Prerequisites: Introduction to Storyboards – read this article first
What you’ll learn
By the end of this article, you’ll know how to:
- Open the Storyboard Library from the main navigation bar.
- Understand the difference between the Admin view and the User view.
- Search, group, and filter to find specific Storyboards.
- Use the action menu to access Storyboard settings without opening the Storyboard.
Overview
The Storyboard Library is where all of your Storyboards are collected, organised, and managed. Click the Storyboards tab in the main navigation bar to open it. From the library you can open any Storyboard by clicking its name, or use the action menu on the right side of each row to access settings, sharing, copying, and deletion without opening the Storyboard first.
Admin view vs. User view
What you see in the Storyboard Library depends on your role. The layout and columns differ between Admins and standard users:
| Column | Admin view | User view |
| Category | Yes | Yes |
| Storyboard Name | Yes | Yes |
| Description | No | Yes |
| Owner | Yes | No |
| Last Modified (time and by whom) | Yes | No |
| Roles and Groups Shared With | Yes | No |
Admins see operational detail – who owns each Storyboard, when it was last changed, and who it’s shared with. Standard users see a cleaner list focused on finding and opening the Storyboards that have been shared with them*.
*One exception: if a user has the ShareStoryboardwithUser permission, then they will be able to see the ‘Shared With’ column.
Finding a Storyboard
Search
Use the search bar at the top of the library to find a Storyboard by name, description, or topic. The search matches exact terms, partial words, and phrases. Start typing and the list filters in real time.
Group By
The library can be grouped by category, Storyboard name, owner, last modified, or shared with. Grouping by category is the default and works like collapsible folders – click a category heading to expand or collapse it.
Action menu
At the far right of each row, three dots open the action menu for that Storyboard. From here you can open settings, share, embed, copy, or delete the Storyboard without navigating away from the library.
Tip: If you can’t see all columns or the action dots, try adjusting your browser zoom or screen resolution. The library columns are responsive but may truncate on smaller screens.
Categories
Storyboards are organised into categories, which act like folders. Categories make it easier to find related Storyboards when the library grows. Your Admin controls the available categories and assigns Storyboards to them.
Unshared Storyboards appear in a special Unshared category. These are Storyboards you’ve created or copied but haven’t shared with any roles or groups yet.
Next steps
Now that you can navigate the library, you might want to explore:
- How to create a new Storyboard – build your first Storyboard from scratch.
- Managing your Storyboards – copying, renaming, deleting, and changing categories.
- How to share Storyboards with roles and groups – control who can see and edit your work.
- Watch the video - Introduction to the Storyboard Library.
